CHAPERONE CHECKLIST

By Plane:

  1. Ride to the airport for all players and coaches

  2. Meeting time and place at the airport (departures/ticketing)

  3. Baggage checked usually together for teams, coaches, chaperones and traveling parents (optional)

  4. Boarding Passes arranged (at gate for Southwest - others generally with ticket or at check-in)

  5. Rental Van Pick-up arrangements (Off Site: all go to rental facility or driver goes and picks up players, etc.)

  6. Rides home from airport on return.

By Bus, Van or Automobile:

  1. Meeting Place(s) and Time(s) set for departure
  2. Contact Phone Numbers for those traveling together
  3. Drivers and vehicles set - who is driving and who are passengers
  4. Each driver has information on hotel and directions even when traveling together
  5. When traveling together determine signal for need to stop from other than lead driver
  6. When traveling together know what the plan is if vehicles get separated

At the Tournament:

  1. Method for communication of time and place of play to players, chaperones, parents - this can get tricky with PM Play Arrangements for snacks and meals during play - each team
  2. Wake up and leave times established allowing for at least 30 minutes at playing site prior to play
  3. What vehicles will transport players and coaches to the playing site and to meals before and after the playing time. Responsibility for balls - ultimately the responsibility of the coach
  4. Coaches, Directors, Chaperones should have Medical Forms, USAV Numbers, Rooming Lists, Playing Sites, Cellular #'s
  5. Coaches must communicate playing site information to chaperones in a timely fashion
  6. Coaches and chaperones must discuss/agree on meals and snacks for players, use of free time, outside activities, etc.

 

Chaperone Duties and Guidelines

  1. Players in room and lights out times established at arrival (10:00 PM and 11:00 PM) Modified for PM Pools/Late Arrival
  2. All players are to inform coaches and/or chaperones of their whereabouts at all times and only leave the room in three's (apply common sense)
  3. Use of alcohol or drugs and being off by oneself, without parental or club supervision, is not allowed
  4. Hotels have other guests and require low noise levels - we may want to come back
  5. Players are to stay with the team at all times, including meals and off time unless released by their coach

 

A last bit of advice

Communication and mutual support between the coach and chaperone can really make life easier for everyone.

If there is a problem or question about transportation, schedules, playing times, activities, get it out in the open. However, chaperones and parents should leave the volleyball related items to the coach.

Undercutting the coach by the chaperone or vice versa will create problems and could affect the team. Remember the "Golden Rule", it works!
